TruViiant Brands proudly provides custom apparel, embroidery, printing, headwear, promotional merchandise, and branded products for businesses, churches, ministries, nonprofit organizations, schools, conferences, teams, community organizations, family events, and other groups.
Bulk orders require additional planning, product sourcing, artwork preparation, production scheduling, and quality control. This policy establishes expectations for customers placing larger or organizational orders with TruViiant Brands.
By approving a quote, paying a deposit or invoice, approving artwork, or authorizing production, the customer agrees to this policy and any additional terms stated in the applicable quote or order agreement.
1. What Is Considered a Bulk Order?
TruViiant Brands may classify an order as a bulk or organizational order based on quantity, customization requirements, production complexity, or customer type.
Bulk orders may include:
- Business uniforms and branded apparel
- Church and ministry merchandise
- Conference and convention apparel
- Nonprofit merchandise
- School and educational organization apparel
- Family reunion merchandise
- Staff and employee apparel
- Volunteer shirts
- Event merchandise
- Team apparel
- Promotional merchandise
- Fundraising merchandise
- Custom embroidered hats
- Corporate gifts
- Organization merchandise stores
Minimum quantities may vary according to the product and production method.
2. Requesting a Quote
Customers should request a written quote before placing a significant custom or bulk order.
To prepare an accurate quote, TruViiant Brands may request:
- Organization name
- Contact person's name
- Billing and shipping information
- Product type
- Product color
- Garment brand or style
- Sizes
- Quantities
- Artwork or logo
- Decoration method
- Number of print or embroidery locations
- Desired completion date
- Shipping or pickup preference
- Special packaging requirements
Quotes are based on the information available when prepared.
Changes to quantities, products, artwork, printing locations, embroidery requirements, sizes, shipping, or deadlines may require a revised quote.
3. Quote Validity
Unless otherwise stated, bulk-order quotes should be considered valid for 30 days.
Product and supplier pricing can change, so pricing may need to be updated after the quote expiration date.
Product availability is not guaranteed until the order is confirmed and, when applicable, merchandise has been secured from the supplier.
4. Volume Pricing
Bulk orders may qualify for volume pricing.
Pricing may be based on quantity tiers. For example:
12 to 23 pieces
24 to 47 pieces
48 to 71 pieces
72 to 143 pieces
144+ pieces
These are suggested TruViiant pricing tiers rather than guaranteed discounts. Actual pricing will depend upon the garment, decoration method, design, number of locations, and production requirements.
If a customer reduces the quantity after receiving volume pricing, the per-item price may be recalculated according to the new quantity.
5. Deposits
Custom bulk orders may require a deposit before merchandise is ordered or production begins.
A recommended TruViiant Brands structure is:
Orders under $500: Full payment before production.
Orders $500 to $2,499: 50% deposit, unless otherwise stated.
Orders $2,500 and above: Deposit and payment schedule established in the written quote or agreement.
These thresholds can be adjusted as TruViiant Brands develops purchasing history and commercial accounts.
Production does not begin until the required payment, artwork, approvals, and order information have been received.
6. Final Payment
Unless TruViiant Brands has approved written credit terms, the remaining balance must generally be paid before merchandise is shipped, delivered, or released for pickup.
Customers should not assume that purchase orders automatically establish credit terms.
Government agencies, schools, established businesses, churches, nonprofits, and other organizations requesting invoicing or payment terms may be evaluated individually.
7. Purchase Orders
TruViiant Brands may accept purchase orders from approved organizations.
A purchase order should include:
- Legal organization name
- Billing address
- Authorized contact
- Purchase order number
- Products ordered
- Quantities
- Agreed pricing
- Delivery information
Acceptance of a purchase order does not automatically establish Net 30 or other credit terms unless TruViiant Brands agrees to those terms in writing.
8. Tax-Exempt Organizations
Organizations claiming sales-tax exemption must provide valid documentation required under applicable law before the order is finalized as tax exempt.
Being a church, ministry, school, nonprofit, or 501(c)(3) organization does not by itself require TruViiant Brands to treat every purchase as exempt from sales tax.
Customers are responsible for providing appropriate exemption or resale documentation when applicable.
9. Artwork Requirements
Customers are responsible for submitting usable artwork and confirming that they have authorization to reproduce submitted logos, trademarks, photographs, graphics, and other intellectual property.
Preferred artwork may include:
- AI
- EPS
- SVG
- Vector PDF
- High-resolution transparent PNG
Artwork requiring substantial cleanup, recreation, vectorization, or preparation may involve additional charges.
10. Embroidery Digitization
Logos intended for embroidery generally require digitization.
Digitization fees may apply for new designs.
Previously digitized designs may be reused when appropriate, although adjustments may sometimes be necessary for different garments, design dimensions, or embroidery applications.
3D puff embroidery may require separate or modified digitization.
11. Artwork Approval
A designated representative of the customer organization should be authorized to approve artwork and production.
Before approving, the representative must carefully review:
- Spelling
- Names
- Dates
- Logos
- Colors
- Design dimensions
- Placement
- Garment selection
- Quantities
- Sizes
- Personalization
Once artwork is approved, TruViiant Brands may begin production.

12. One Authorized Contact
For larger organizational orders, TruViiant Brands strongly recommends designating one primary decision-maker.
This individual should be authorized to:
- Approve artwork
- Approve pricing
- Confirm quantities
- Approve changes
- Communicate deadlines
- Authorize production
This helps prevent conflicting instructions from multiple members of an organization.
TruViiant Brands may rely upon instructions received from the designated authorized representative.
13. Size Information
The organization is responsible for collecting and submitting accurate garment sizes.
Customers should use applicable manufacturer size charts when available.
Because sizing can vary between manufacturers and garment styles, TruViiant Brands cannot guarantee that every garment will fit every individual according to personal preference.
For significant orders, customers may request sample garments or sizing samples when available.
14. Final Quantity & Size Confirmation
Before production, the customer may be required to approve a final quantity and size breakdown.
For example:

Once this breakdown has been approved and merchandise ordered or production begun, changes cannot be guaranteed.
15. Extended Sizes
Garment suppliers commonly charge more for extended sizes such as 2XL, 3XL, 4XL, 5XL, and above.
TruViiant Brands may apply additional charges to these sizes based upon supplier pricing.
Any applicable charges should be disclosed in the quote or product pricing.
16. Product Availability & Substitutions
Bulk orders depend upon supplier inventory.
Occasionally, a requested product, size, or color may become unavailable before the order is secured.
When this occurs, TruViiant Brands may recommend a comparable alternative.
TruViiant Brands will not knowingly substitute a materially different garment or product without customer authorization.
If the customer declines available alternatives, affected portions of the order may be canceled or adjusted as appropriate.
17. Production Time
Bulk production timelines depend on:
- Quantity
- Garment availability
- Artwork readiness
- Embroidery stitch count
- Number of decoration locations
- Printing method
- Personalization
- Production schedule
- Supplier shipping
- Customer approval time
Estimated production time begins after all required deposits, merchandise selections, artwork, sizes, quantities, and approvals have been received.
For planning purposes, many standard bulk projects should allow approximately 10 to 15 business days, although actual timelines will be confirmed for the specific project.
Large or complex projects may require additional time.
18. Event Deadlines
Customers ordering merchandise for a specific event should provide the event date before approving the order.
Examples include:
- Church anniversaries
- Conferences
- Conventions
- Retreats
- Business events
- Fundraisers
- Family reunions
- School events
- Community events
Whenever possible, TruViiant Brands recommends completing bulk orders well before the event date rather than scheduling delivery immediately before the event.
A requested event date is not a guaranteed delivery date unless TruViiant Brands specifically accepts that deadline in writing.
19. Rush Orders
Rush production may be available depending upon production capacity, merchandise availability, and order complexity.
Additional rush charges may apply.
Paying a rush fee does not eliminate delays caused by late artwork approval, unavailable merchandise, incorrect customer information, carrier disruptions, or other circumstances outside TruViiant Brands' reasonable control.
20. Order Changes
Changes after approval cannot be guaranteed.
Requested changes may result in additional charges for:
- Replacement garments
- Additional artwork
- New digitization
- Printing
- Embroidery
- Supplier costs
- Shipping
- Rush production
Customers should refer to the Cancellation & Order Modification Policy for additional information.
21. Cancellations
Bulk custom orders become increasingly difficult to cancel after merchandise has been purchased and production has begun.
Amounts already applied toward:
- Design work
- Digitization
- Special-order merchandise
- Supplier charges
- Setup
- Completed production
- Rush services
may be non-refundable to the extent permitted by applicable law and the applicable order agreement.
22. Quality & Production Variations
Bulk custom merchandise is subject to reasonable manufacturing and production variations.
Minor differences may occur in:
- Thread color
- Print color
- Embroidery placement
- Print placement
- Garment dimensions
- Dye lots
- Fabric
- 3D puff embroidery
- Product construction

23. Inspection of Bulk Orders
Customers should inspect bulk merchandise promptly after receiving it.
Any suspected production error, shortage, incorrect item, or damage should be reported within 7 days of delivery or pickup.
Customers should provide:
- Order number
- Description of the concern
- Quantity affected
- Photographs when appropriate
Please do not distribute, wear, sell, alter, wash, or otherwise use merchandise believed to be defective before contacting TruViiant Brands, when reasonably possible.
24. Personalized Individual Items
Orders containing individual names, titles, numbers, departments, or other personalization require particular attention.
The customer organization is responsible for providing an accurate final personalization list.

TruViiant Brands will produce personalization based upon the information approved by the organization's authorized representative.
Customer-approved spelling or information errors generally do not constitute production defects.
25. Individual Ordering for Organizations
TruViiant Brands may offer organizations an individual-ordering solution through its ecommerce platform.
Instead of the organization manually collecting sizes and payments, eligible projects may allow individual participants to purchase directly through a designated online collection or merchandise store.
This model can be especially useful for:
- Churches
- Conferences
- Nonprofits
- Associations
- Family reunions
- Schools
- Teams
Specific fulfillment, pricing, fundraising, and store-duration terms may apply.
26. Organization Merchandise Stores
TruViiant Brands may establish dedicated online merchandise collections or storefronts for approved organizations.
Depending on the arrangement, TruViiant Brands may provide:
- Product setup
- Online ordering
- Custom artwork
- Printing
- Embroidery
- POD fulfillment
- Shipping
- Sales reporting
If the organization receives fundraising proceeds, commissions, royalties, or revenue shares, those terms should be established in a separate written agreement.
27. Fundraising Merchandise
TruViiant Brands may work with churches, nonprofits, schools, ministries, and organizations to create merchandise campaigns that generate funds for the participating organization.
The agreement should clearly establish:
- Retail price
- Production cost
- Organization proceeds
- Payment schedule
- Campaign period
- Returns
- Customer service responsibilities
- Unsold inventory responsibility, if applicable
Fundraising proceeds are not established until confirmed in writing.
28. Shipping & Delivery
Bulk orders may be:
- Shipped
- Delivered when arranged
- Picked up
- Distributed through individual fulfillment
- Fulfilled through POD partners
Shipping and delivery charges will depend upon the order arrangement.
Large orders may require multiple boxes or shipments.
29. Local Pickup
When local pickup is available, the authorized customer representative will be notified when the order is ready.
Customers should not arrive for pickup until receiving confirmation.
The individual receiving the merchandise may be asked to verify the order or acknowledge receipt.
30. Customer-Supplied Merchandise
TruViiant Brands may, at its discretion, accept customer-supplied garments for embroidery or printing.
Separate conditions may apply because customer-owned merchandise carries additional production risk.
Customers should not supply rare, sentimental, irreplaceable, or unusually expensive merchandise without discussing the project with TruViiant Brands beforehand.
31. Intellectual Property
The customer organization represents that it has the right to authorize TruViiant Brands to reproduce submitted logos, trademarks, photographs, designs, names, and other protected materials.
Bulk orders are subject to our Intellectual Property & Customer-Submitted Artwork Policy.
32. Confidential Projects
Organizations planning an unreleased brand, corporate initiative, surprise event, new logo, or other confidential project should notify TruViiant Brands before submitting sensitive materials.
Additional confidentiality arrangements may be established when appropriate.
33. Relationship to Other Policies
Bulk and organizational orders are also subject to the applicable TruViiant Brands:
