Rush Order & Event Deadline Policy

Effective Date: August 8, 2026

TruViiant Brands understands that many custom orders are connected to important dates, including church anniversaries, conferences, business events, family reunions, school functions, product launches, celebrations, and other time-sensitive occasions.

We will make reasonable efforts to accommodate customers who need accelerated production. However, rush orders require special scheduling, may involve additional costs, and are subject to product availability, artwork readiness, customer responsiveness, production capacity, shipping carrier performance, and other factors.

By requesting or approving a rush order or event-specific deadline, the customer agrees to this policy.

1. What Is Considered a Rush Order?

A rush order is generally any order requiring production or fulfillment sooner than TruViiant Brands' standard processing timeline.

Rush status may apply to:

  • Custom embroidery
  • DTF printing
  • Screen printing
  • Personalized merchandise
  • Hats and headwear
  • Hoodies and apparel
  • Business uniforms
  • Church and ministry merchandise
  • Conference apparel
  • Event merchandise
  • Bulk orders
  • Print-on-demand products
  • Promotional merchandise

Whether an order qualifies for rush production is determined by TruViiant Brands based on the specific project.

2. Rush Orders Must Be Approved

Submitting a requested deadline does not automatically mean the order has been accepted as a rush order.

A rush order is confirmed only after TruViiant Brands has reviewed the project and, when applicable, confirmed:

  • Product availability
  • Artwork readiness
  • Production capacity
  • Quantity
  • Decoration method
  • Required completion date
  • Shipping method
  • Rush charges
  • Customer approvals

Customers should not assume an event date is guaranteed until TruViiant Brands confirms the applicable arrangement.

3. Event Dates Must Be Disclosed Before Production

Customers ordering merchandise for a specific event should provide the event date at the beginning of the ordering process.

Examples include:

  • Church anniversaries
  • Pastor appreciation services
  • Conferences
  • Conventions
  • Business meetings
  • Employee events
  • School activities
  • Family reunions
  • Fundraisers
  • Concerts
  • Festivals
  • Community events
  • Product launches
  • Weddings or celebrations

Providing an event date after production has begun may limit TruViiant Brands' ability to meet the deadline.

4. Recommended Advance Ordering

Whenever possible, customers should place time-sensitive orders well in advance.

As a general planning guideline, TruViiant Brands recommends:

Small custom order 10 to 14 business days
Embroidered hats/apparel 10 to 15 business days
Medium bulk order 15 to 20 business days
Large organizational order 20 to 30 business days
Conference/event merchandise 3 to 6 weeks
Complex or highly personalized order 3 to 6 weeks

These are planning guidelines, not guaranteed turnaround times.

5. Rush Fees

Rush orders may require an additional fee because they can require priority scheduling, expedited purchasing, additional staffing, overtime, expedited shipping, or changes to normal production schedules.

A suggested TruViiant Brands rush-fee structure is:

TruViiant Brands may adjust these fees based on project complexity, quantity, product type, and production requirements.

Rush fees should be disclosed before the customer authorizes rush production.

6. Rush Fees Are Production Fees

A rush fee primarily compensates TruViiant Brands for accelerated scheduling and production efforts.

A rush fee does not necessarily mean the customer is purchasing expedited shipping.

If expedited shipping is required, those charges may be separate.

7. Rush Fees May Be Non-Refundable

Once TruViiant Brands has begun priority scheduling, expedited purchasing, production preparation, or other rush-related services, the rush fee may be non-refundable to the extent permitted by applicable law.

If TruViiant Brands determines before rush production begins that the requested deadline cannot reasonably be met, we will notify the customer and discuss available options.

8. Artwork Must Be Production-Ready

Rush production cannot begin until required artwork is ready.

Customers requesting rush service should provide high-quality artwork promptly.

If artwork requires:

  • Logo cleanup
  • Vectorization
  • Embroidery digitization
  • Design creation
  • Background removal
  • Significant revision
  • Color correction

the time required for those services may affect the rush schedule.

Additional artwork or digitization fees may apply.

9. Artwork Approval Deadline

Rush-order customers are responsible for responding quickly to proofs and approval requests.

TruViiant Brands may establish a specific artwork approval deadline.

For example:

Proof sent: Monday at 10:00 AM
Approval required: Monday by 3:00 PM

If approval is received after the stated deadline, the estimated completion date may change.

10. Customer Delays

TruViiant Brands cannot be responsible for a missed requested deadline when production is delayed because the customer does not timely provide:

  • Artwork
  • Approval
  • Sizes
  • Quantities
  • Personalization
  • Product selections
  • Shipping information
  • Payment
  • Required documentation

Rush production depends on rapid communication from both TruViiant Brands and the customer.

11. Check It. Approve It. Then We Create It.

Rush timing does not eliminate the customer's responsibility to review proofs carefully.

Before approving, customers should verify:

Placement ✓
Shipping Information ✓

Once the proof is approved, production may begin immediately.

12. Changes After Rush Approval

Changes requested after artwork or production approval may jeopardize the promised or estimated completion date.

Changes may include:

  • New artwork
  • New colors
  • Different garment styles
  • Quantity changes
  • Size changes
  • Personalization changes
  • Different product selections

Additional fees may apply.

13. Product Availability

Rush production depends on blank merchandise and materials being available.

A requested garment, color, size, hat, or specialty product may become unavailable.

If this happens, TruViiant Brands may recommend an alternative product.

Customer approval may be required before a substitution is made.

14. Special-Order Merchandise

Special-order merchandise may require expedited supplier shipping.

These additional supplier shipping charges may be passed on to the customer after disclosure.

TruViiant Brands cannot guarantee supplier inventory until merchandise has been secured.

15. Production Deadline vs. Event Date

Customers should understand the difference between:

Production Completion Date:
The date TruViiant Brands expects production to be completed.

Ship Date:
The date merchandise is expected to leave the production facility.

Delivery Date:
The estimated date the shipping carrier may deliver the package.

Event Date:
The date the customer actually needs the merchandise.

These dates are not the same.

For time-sensitive orders, sufficient time should be allowed between production completion and the actual event.

16. Shipping & Rush Orders

Shipping carrier transit time is separate from production time.

Expedited production does not automatically include expedited shipping.

Customers may need to pay for:

  • Priority shipping
  • Overnight shipping
  • Two-day shipping
  • Other expedited delivery services

when available.

17. Carrier Delays

Once an order has been transferred to a shipping carrier, delivery may be affected by circumstances outside TruViiant Brands' reasonable control.

These may include:

  • Weather
  • Transportation delays
  • Carrier disruptions
  • Natural disasters
  • Incorrect address information
  • Holiday volume
  • Customs delays
  • Regional emergencies

A carrier's estimated delivery date is not necessarily a guaranteed delivery date unless the applicable carrier specifically provides a guaranteed service.

18. Local Pickup for Rush Orders

When available, local pickup may reduce shipping-related uncertainty for time-sensitive orders.

Customers selecting pickup should wait until TruViiant Brands confirms that the merchandise is ready before arriving.

19. POD Rush Orders

Print-on-demand products may be subject to third-party fulfillment schedules.

TruViiant Brands cannot always accelerate production once a POD order has been transferred to a fulfillment provider.

When an order has a critical event deadline, in-house or alternative production may be recommended when feasible.

20. Bulk Rush Orders

Large rush orders may require additional planning because of:

  • High quantities
  • Multiple garment sizes
  • Multiple decoration locations
  • Specialty embroidery
  • Individual names or numbers
  • Product availability
  • Packaging
  • Distribution requirements

TruViiant Brands reserves the right to decline a rush order when accepting it could reasonably compromise quality or existing customer commitments.

21. Personalized Orders

Personalized rush orders require particularly accurate customer information.

For example:

Jane Smith | Choir | XL
Robert Jones | Staff | 2XL
Lisa Green | Volunteer | L

The customer or authorized organizational representative is responsible for approving spelling, sizing, titles, and other personalization.

22. One Authorized Contact for Organizational Orders

Churches, businesses, nonprofits, conferences, schools, and other organizations should designate one primary representative for rush projects.

That representative should have authority to:

  • Approve artwork
  • Approve substitutions
  • Confirm quantities
  • Approve additional charges
  • Make deadline-related decisions

Rapid decision-making is essential for rush projects.

23. Rush Order Cancellation

Because rush orders may enter production immediately after approval, cancellation opportunities may be very limited.

Once TruViiant Brands has:

  • Purchased merchandise
  • Ordered expedited supplies
  • Completed artwork
  • Digitized designs
  • Reserved priority production capacity
  • Begun printing or embroidery

some or all associated charges may be non-refundable.

Rush cancellations are also subject to our Cancellation & Order Modification Policy.

24. Missed Deadlines Caused by TruViiant Brands

If TruViiant Brands specifically confirmed a deadline in writing and determines that the order cannot be completed according to that confirmed arrangement because of a production issue within our reasonable control, we will contact the customer as soon as reasonably possible.

Available remedies may include:

  • Revised completion date
  • Alternative product
  • Adjusted production method
  • Partial refund
  • Rush-fee adjustment
  • Cancellation of the affected portion before completion

The appropriate resolution will depend on the circumstances.

25. Event Cancellation or Postponement

If the customer's event is canceled, rescheduled, postponed, or relocated, merchandise already produced or in production remains subject to the original order terms.

An event change does not automatically cancel a custom merchandise order.

If production has not started, TruViiant Brands may attempt to accommodate requested changes when feasible.

26. No Guaranteed Event Attendance Value

TruViiant Brands is responsible for providing the merchandise and production services agreed upon.

We are not responsible for losses related to event attendance, ticket sales, fundraising expectations, promotional revenue, lost profits, or other indirect consequences arising from a delayed event order to the extent such limitations are permitted by applicable law.

27. Weather & Emergency Events

Severe weather, public emergencies, transportation disruptions, power outages, supplier interruptions, or other extraordinary circumstances may affect production or delivery.

When such circumstances occur, TruViiant Brands will make reasonable efforts to communicate with affected customers and identify available alternatives.

28. Holiday Rush Periods

Production and shipping timelines may be longer during periods such as:

  • Thanksgiving
  • Christmas
  • New Year
  • Graduation season
  • Back-to-school season
  • Major conference periods
  • Promotional sales
  • Other high-volume periods

Customers should order earlier when merchandise is required during these periods.

29. Written Confirmation Controls

For event-critical orders, customers should rely on the timeline confirmed in writing by TruViiant Brands.

Casual conversations, preliminary estimates, social-media messages, or requested dates should not be interpreted as guaranteed commitments unless TruViiant Brands specifically confirms the production arrangement.

30. Relationship to Other TruViiant Policies

This policy should be read together with our:
