Custom Orders & Artwork Approval Policy

At TruViiant Brands, we take pride in transforming ideas, logos, messages, and creative concepts into quality custom apparel and branded merchandise. Custom work requires collaboration between our customers and production team. This policy establishes clear expectations for artwork submission, design approval, production, embroidery, printing, personalization, and custom-order changes.
By placing, paying for, or approving a custom order with TruViiant Brands, the customer agrees to the following terms.
1. Custom Orders
A custom order includes any product created, altered, printed, embroidered, decorated, personalized, or produced according to a customer's specifications.
Custom products may include t-shirts, hoodies, sweatshirts, hats and headwear, polos, jackets, bags, tumblers, promotional merchandise, business apparel, church and ministry apparel, conference merchandise, event merchandise, and other personalized products.
Once customization or production has begun, custom products generally cannot be returned, exchanged, or canceled except when TruViiant Brands determines that the product is defective or was produced differently from the approved specifications.
2. Customer-Submitted Artwork
Customers may submit logos, photographs, graphics, text, names, artwork, or other design elements for use on custom merchandise.
Customers are responsible for providing the highest-quality artwork available. Preferred formats may include vector files such as AI, EPS, SVG, or print-quality PDF, and high-resolution PNG files with transparent backgrounds when appropriate.
Low-resolution images, screenshots, photographs of logos, compressed JPEG files, or artwork downloaded from social media may not produce optimal results.
TruViiant Brands will notify customers when submitted artwork requires significant modification, recreation, vectorization, background removal, or embroidery digitization.
Additional artwork or setup fees may apply.
3. Customer Responsibility for Artwork Rights
By submitting artwork to TruViiant Brands, the customer represents that they own the artwork or have authorization to reproduce and use it.
This includes trademarks, business logos, organization logos, photographs, illustrations, copyrighted designs, names, slogans, and other protected materials.
Customers should not submit material they do not have permission to reproduce.
TruViiant Brands reserves the right to decline any project when ownership or authorization is reasonably in question.
4. Artwork Preparation & Design Services
Artwork may require preparation before production.
Services may include:
- Logo cleanup
- Background removal
- Image enhancement
- Vector conversion
- Color adjustment
- Layout preparation
- Typography
- Embroidery digitization
- DTF preparation
- Print preparation
- Design creation or modification
Design, digitization, or setup fees may be charged separately from the cost of merchandise and production.
Unless specifically stated otherwise, artwork preparation fees compensate TruViiant Brands for creative and production preparation services and are generally non-refundable once the work has been performed.
5. Digital Proofs
When applicable, TruViiant Brands will provide a digital proof before production begins.
The proof may show:
- Artwork
- Wording
- Spelling
- Colors
- Approximate placement
- Garment style
- Logo location
- Design dimensions
- Personalization
- Other production specifications
Digital proofs are intended to provide a reasonable representation of the finished product. Screen colors, garment textures, embroidery threads, printing processes, and physical materials may cause the finished product to vary somewhat from the digital representation.
6. Customer Approval
Customers are responsible for carefully reviewing the entire proof before approving production.
Before approving, customers should verify:
- Names
- Spelling
- Dates
- Phone numbers
- Website addresses
- Scripture references
- Titles
- Logos
- Colors
- Garment sizes
- Quantities
- Design placement
- Personalization
- Other requested details
Once the customer provides approval, TruViiant Brands will generally consider the design approved for production as shown.
7. What Constitutes Approval
Approval may be provided through an approved method of communication, including the TruViiant Brands website, Shopify order system, email, electronic invoice or proofing system, or another documented communication method accepted by TruViiant Brands.
Statements such as "Approved," "Looks good," "Proceed," "Go ahead," "Ready for production," or similar affirmative instructions may constitute authorization to begin production.
Customers should not approve artwork until they are completely satisfied with the design.
8. Errors After Customer Approval
If an error appears on the approved proof and the final merchandise accurately reflects that approved proof, TruViiant Brands generally will not be responsible for replacing or refunding the merchandise.
This includes customer-approved errors involving spelling, dates, names, colors, placement, quantities, sizes, wording, or other design details.
If TruViiant Brands produces merchandise differently from the approved proof or confirmed specifications, we will review the issue and provide an appropriate resolution when warranted.
9. Embroidery Digitization
Artwork used for embroidery must normally be converted into an embroidery machine file through a process called digitization.
Digitization determines factors such as stitch type, stitch direction, density, underlay, sequencing, and other production characteristics.
An embroidery design may therefore differ slightly from the original digital artwork because thread cannot reproduce every effect possible in a printed image.
Very small text, thin lines, gradients, shadows, intricate details, and extremely complex graphics may need to be simplified for successful embroidery.
10. Embroidery Variations
Embroidery is a textile process, and minor variations are normal.
Finished embroidery may vary slightly based upon garment material, garment construction, thread type, logo size, placement, stabilizer, and embroidery technique.
Small variations that occur naturally during embroidery are not necessarily considered defects.
For hats in particular, seams, panels, crown structure, and embroidery area may affect design placement and maximum embroidery dimensions.
11. Puff Embroidery
3D or puff embroidery requires designs specifically suited for raised embroidery.
Not every logo is appropriate for puff embroidery. Fine lettering, highly detailed artwork, thin lines, and certain design elements may require modification or traditional flat embroidery.
TruViiant Brands may recommend adjustments to improve the finished product.
12. Printing Variations
DTF, screen printing, sublimation, heat transfer, and other printing methods may produce slight differences in color, texture, dimensions, or placement.
Colors displayed on electronic screens may also differ from physical ink, film, transfer material, thread, or fabric colors.
Reasonable production variations are considered normal unless the finished product materially differs from the approved design or specifications.
13. Garment & Product Variations
Products from different manufacturers may vary in color, fit, sizing, fabric weight, texture, construction, and availability.
TruViiant Brands may provide manufacturer sizing information when available, but customers are responsible for selecting appropriate sizes.
For significant bulk orders, customers are encouraged to request or purchase a sample when exact fit, color, or garment characteristics are critical.
14. Design Placement
Design placement shown on a digital mockup is approximate unless specific measurements have been agreed upon.
Minor placement variations can occur during manual garment loading, printing, pressing, and embroidery.
For example, an embroidered left-chest logo may vary slightly between garments because of differences in garment construction and size.
15. Changes After Approval
Once artwork has been approved and production has started, changes cannot be guaranteed.
Requested changes may result in additional:
- Artwork charges
- Digitization fees
- Product costs
- Production charges
- Shipping expenses
- Production time
If merchandise has already been printed, embroidered, personalized, or otherwise customized, the customer may be responsible for the cost of replacing the affected products.
16. Custom Order Cancellations
Custom orders should be canceled before artwork approval and production whenever possible.
Once production has begun, custom orders generally cannot be canceled.
If cancellation is approved before production, charges already incurred for design work, digitization, special-order merchandise, setup, or other completed services may remain non-refundable.
17. Customer-Supplied Garments
When TruViiant Brands agrees to decorate customer-supplied merchandise, additional conditions may apply.
Embroidery, heat pressing, printing, and other decoration processes involve equipment, heat, pressure, needles, inks, adhesives, and other production variables.
While reasonable care will be taken, customers should understand that decorating customer-owned merchandise carries inherent production risk.
For particularly valuable, rare, sentimental, or irreplaceable garments, customers should discuss the project with TruViiant Brands before production.
18. Print-on-Demand Products
Certain TruViiant Brands products may be manufactured through approved third-party production and print-on-demand partners.
Production specifications, printable areas, embroidery dimensions, available colors, and product availability may vary by fulfillment provider.
When a third-party production partner fulfills an order, TruViiant Brands will remain the customer's primary point of contact for order-related concerns.
19. Bulk Orders
For churches, ministries, businesses, schools, nonprofits, conferences, family reunions, organizations, teams, and other bulk customers, TruViiant Brands may require:
- Written quotations
- Deposits
- Final quantity confirmation
- Size breakdowns
- Artwork approval
- Production authorization
- Balance payment before delivery or shipment
Once final quantities, sizes, and artwork have been approved and production has begun, reductions or changes may not be possible.
20. Production Timeline
Production timelines generally begin after all required information has been received and final artwork has been approved, not necessarily on the date the initial order inquiry or payment was submitted.
Delays in customer approval, artwork submission, size confirmation, or other required information may delay the estimated completion date.
Rush production, when available, may involve additional fees.
21. Samples & Pre-Production Approval
For larger or particularly important orders, TruViiant Brands may recommend a physical sample before full production.
A sample may involve additional costs and production time but can be valuable when exact embroidery appearance, garment quality, sizing, color, or placement is particularly important.
22. TruViiant Brands Design Ownership
Original designs created entirely by TruViiant Brands may remain the intellectual property of TruViiant Brands unless ownership rights are specifically transferred to the customer in writing.
Payment for merchandise, artwork preparation, or design services does not automatically transfer copyright or ownership of TruViiant Brands' original creative work unless otherwise agreed.
Customer-owned logos and artwork remain the property of their respective owners.
23. Portfolio & Promotional Use
TruViiant Brands may photograph completed products for quality-control and portfolio purposes.
For customer-owned trademarks, private organizational materials, or other sensitive custom projects, promotional use should be handled in accordance with applicable permissions and agreements. Customers may contact us if they do not want their completed custom merchandise featured in TruViiant Brands marketing.
24. Our Quality Commitment
We understand that custom merchandise often represents something important, a business, ministry, organization, event, family, message, or personal vision.
Our goal is to treat every project accordingly.
