Cancellation & Order Modification Policy

At TruViiant Brands, we understand that plans can change and that customers may occasionally need to cancel or modify an order. Because many of our products are custom printed, embroidered, personalized, made-to-order, or fulfilled through third-party production partners, the ability to change or cancel an order depends on its production status.
This policy explains when cancellations and modifications may be accepted and when additional charges may apply.
By placing an order with TruViiant Brands, the customer agrees to the following terms.
1. Standard Merchandise Orders
For non-customized, ready-to-ship merchandise, customers should submit cancellation or modification requests as soon as possible.
We will make reasonable efforts to accommodate requests received before the order has entered fulfillment or been shipped.
Once an order has been processed for shipment, we may be unable to cancel or modify it.
If an eligible standard product has already shipped, the customer may request a return after receiving it in accordance with our Return & Refund Policy.
2. Custom & Personalized Orders
Custom merchandise may include:
- Embroidered apparel
- Embroidered hats and headwear
- DTF printed products
- Screen-printed apparel
- Sublimated products
- Personalized merchandise
- Customer-logo products
- Business and organizational apparel
- Church and ministry merchandise
- Conference and event merchandise
- Custom promotional products
- Bulk orders
- Special-order products
Because these products are manufactured specifically for the customer, cancellation and modification options become limited once work begins.
3. Before Artwork Approval
Customers may generally request changes to a custom order before final artwork approval and production authorization.
Depending on the stage of the project, changes may include:
- Wording
- Colors
- Logo selection
- Design placement
- Garment style
- Product color
- Quantities
- Sizes
- Personalization
Additional design or setup charges may apply when requested modifications require substantial additional artwork or preparation.
4. After Artwork Approval
Once a customer approves a digital proof, embroidery proof, mockup, or other production artwork, the order may move into production.
After approval, modifications cannot be guaranteed.
Customers should carefully verify all details before approving artwork, including:
- Spelling
- Names
- Dates
- Logos
- Colors
- Quantities
- Garment sizes
- Product colors
- Design dimensions
- Placement
- Personalization
Approval indicates authorization for TruViiant Brands to proceed with production.
5. Once Production Has Begun
Once printing, embroidery, digitization, product preparation, personalization, or other production has begun, the order generally cannot be canceled.
Changes requested after production begins may require the customer to pay for merchandise or production work already completed.
If a requested change can reasonably be accommodated, TruViiant Brands will explain any additional costs before proceeding.
6. Design & Artwork Fees
Design, artwork preparation, logo cleanup, vectorization, digitization, setup, and similar services may begin before physical merchandise enters production.
Once those services have been performed, associated fees are generally non-refundable, even if the customer later decides not to proceed with the merchandise order, to the extent permitted by applicable law and the terms disclosed for the order.
7. Embroidery Digitization Fees
Embroidery digitization requires specialized preparation of artwork for embroidery equipment.
Once digitization has been completed, the applicable digitization fee is generally non-refundable.
Cancellation of the merchandise order does not automatically entitle the customer to receive TruViiant Brands' internal embroidery production files unless file ownership or delivery was separately agreed to in writing.
8. Special-Order Merchandise
Certain blank garments, specialty products, colors, sizes, headwear, promotional products, or other materials may be ordered specifically for a customer's project.
Once TruViiant Brands has purchased special-order merchandise from a supplier, cancellation may be subject to:
- Supplier return restrictions
- Restocking fees
- Shipping expenses
- Non-refundable product costs
If the supplier does not permit a return, the customer may remain responsible for the applicable merchandise costs.
9. Changing Sizes or Quantities
Requests to change sizes or quantities should be submitted before merchandise is ordered or production begins.
Once blank merchandise has been purchased or customization has started, changing quantities or sizes may result in additional charges.
Reducing the quantity of a bulk order may also affect previously quoted volume pricing.
For example, if a customer received a discounted per-item price based on 100 pieces and later reduces the order to 50 pieces, TruViiant Brands may recalculate the applicable per-item price.
10. Adding Products to an Existing Order
Customers may request additional products after an order has been submitted.
When possible, TruViiant Brands may add products to an existing production run.
However, added merchandise may:
- Require additional payment
- Have a different completion date
- Require separate shipping
- Affect production scheduling
- Be priced differently from the original order
Additional items are not considered part of the original order until confirmed by TruViiant Brands.
11. Changing Artwork
Artwork changes requested after approval may require:
- New design preparation
- Revised proofs
- Additional digitization
- New setup
- Replacement merchandise
- Additional production time
Applicable charges will depend on the stage of production.
12. Print-on-Demand Orders
Some TruViiant Brands products may be produced through third-party print-on-demand fulfillment partners.
POD orders may be transmitted to a production provider shortly after the order is placed.
Once the fulfillment provider has accepted an order for production, cancellation or modification may no longer be possible.
For this reason, customers should immediately review their order confirmation and contact TruViiant Brands if they discover an error.
13. Shipping Address Changes
Customers are responsible for providing an accurate shipping address when placing an order.
Address changes should be requested immediately.
We will make reasonable efforts to update an address before shipment, but changes cannot be guaranteed once an order has entered fulfillment or been transferred to a shipping carrier.
Additional shipping expenses resulting from incorrect customer-provided information may be the customer's responsibility.
14. Rush Orders
Rush orders may enter production immediately after payment and artwork approval.
As a result, the cancellation or modification window for rush orders may be extremely limited.
Rush-production fees generally compensate for expedited scheduling and may be non-refundable once rush processing has begun.
15. Bulk, Church, Business & Organizational Orders
Large orders for churches, ministries, businesses, nonprofits, schools, conferences, teams, family reunions, and other organizations may require deposits, special merchandise purchases, artwork preparation, or reserved production capacity.
Cancellation terms for these projects may also be stated in the applicable quote, invoice, or written agreement.
If a customer cancels after TruViiant Brands has incurred project-specific expenses, those expenses may be deducted from any amount otherwise eligible for refund.
16. Event-Date Changes
Changing the date of a conference, church event, business function, reunion, celebration, or other event does not automatically cancel merchandise already approved or in production.
If the merchandise contains a printed or embroidered event date, customers should contact TruViiant Brands immediately.
We will determine whether production can reasonably be modified.
17. Deposits
Custom or bulk orders may require a deposit before artwork preparation, merchandise purchasing, or production begins.
Any deposit terms will be disclosed in the applicable quote, invoice, or agreement.
To the extent permitted by law, amounts already applied toward completed design services, digitization, purchased merchandise, setup, or production may not be refundable after cancellation.
Any remaining refundable balance will be determined based on the status of the order and applicable agreement.
18. Customer Failure to Approve Artwork
Production timelines depend upon timely customer approval.
If a customer delays artwork approval, size confirmation, payment, or other required information, the estimated completion date may change.
TruViiant Brands is not responsible for missed requested delivery dates caused by customer approval delays.
Orders that remain inactive for an extended period may be placed on hold until the customer provides the required information.
19. TruViiant Brands Cancellation
In limited circumstances, TruViiant Brands may need to cancel an order because of:
- Product discontinuation
- Supplier availability
- Equipment limitations
- Production problems
- Pricing or listing errors
- Suspected fraud
- Payment issues
- Intellectual property concerns
- Inability to reasonably fulfill approved specifications
If TruViiant Brands cancels an order for reasons attributable to us before the applicable product or service has been provided, we will issue an appropriate refund for amounts paid for the canceled portion.
20. How to Request a Cancellation or Modification
All cancellation and modification requests should be submitted promptly to:

- Customer name
- Order number
- Requested change or cancellation
- Products affected
- Corrected information, when applicable
A request should not be considered approved until TruViiant Brands confirms the cancellation or modification.
21. Refunds Following an Approved Cancellation
When a cancellation qualifies for a refund, the amount will be determined after accounting for applicable completed work and costs already incurred, consistent with the customer's agreement and applicable law.
Potentially non-refundable costs may include authorized:
- Design services
- Digitization
- Setup fees
- Special-order merchandise
- Completed customization
- Production already performed
- Supplier charges
- Rush-processing services
Approved refunds will generally be returned to the original payment method. Processing time may vary depending on the financial institution or payment provider.

If a specific quote, invoice, purchase agreement, or custom-order agreement contains additional cancellation terms, those terms will supplement this policy for that transaction.

Before approving your order, verify:

Once approved production begins, changes may not be possible.
